2) Review and Guidance on CITI Effectiveness
The role of CITI in the UCLA IT decision structure is to provide:
· Sponsorship of multi-unit and/or campus wide university IT projects
· Sponsorship of IT fiscal models
· Business operational policy
· Prioritization of university funded IT projects
There was discussion on how effective the CITI has been in these roles. The general agreement was that CITI has evolved into a more effective body than when it was originally formed. It does provide an accountability and review structure. Some suggestions to increase effectiveness of the Committee are:
· More visible closure of issues
· Agenda should include expected actions from CITI
· It is not clear what projects CITI has purview over; make portfolio of projects visible
· Provide quarterly project reports, periodic milestone reports (dashboards)
Other suggestions for increasing CITI’s effectiveness should be forwarded to Jim Davis.
3) Report on project management
re-organization of Student Systems Projects
There is recognition by the managers of the SRdbR / SRS, DAUD, and DW (student) projects that it is no longer feasible to plan and implement them as independent projects. Therefore they have reformed into a management oversight group with the goal of creating an environment to manage the suite of student systems projects as a single integrated project with various subprojects. The objective is to reform the current planning and implementation process so that deployment of resources is addressed across all projects together. An integrated project plan is expected to be completed by March 18, 2005. Nick Reddingius has joined the project managers group as the temporary SRDB project manager until the SRDB services or alternatives are accounted for and handed off to other projects.
4) SRDB
Nick Reddingius gave an overview of the various broad areas of functionality that are not yet accounted for in SRDB but will need to be resolved. His presentation: ‘Reallocating SRDB Functionality’ is posted at: http://www.citi.oit.ucla.edu/documents.htm#January2005 .
5) Data Centers Data Gathering Project
Data Gathering is the first project within the larger Data Centers Project, which is part of the Repositioning IT Initiative. The purpose of the Data Centers Data Gathering Project is to identify and understand the nature of critical and sensitive campus-wide applications and/or data. Of particular interest is how IS-3 standards are implemented. Data is proposed to be collected in phases, using an Electronic Information Security Risk Assessment Survey designed to help understand how IS-3 standards are implemented. The first phase will include only administrative applications and data. Not included in the first phase is research or instructional data. A team of Professional Development Program (PDP) participants will physically visit and interview 32 academic and administrative units to complete the survey.
The Committee approved the data gathering survey and approach. It recommended including Assistant Deans and MSOs in the communication plan.
